Recruitment for the Erasmus+ programme takes place through the USOSweb system and via a dedicated MS Forms. To participate in the recruitment process, you must log in to the USOSweb system, enter the Student Exchange tab and submit the application, than fill in the additional form (click here - this link goes to a new tab).

The application via USOSweb will be available in Students Section, Student Mobility, from Monday 15.01.2024 onwards.
You would need to fill in both applications by 5 February, at the latest.

 

The MS forms (click here - this link goes to a new tab) is in English and its main purpose is to arrange students’ applications and check the compatibility of language requirements. It is not possible to nominate a Student without any language competence confirmation.

In order to fill in the form correctly, you would need to get familiar with the updated list of Erasmus agreements (click here - this link goes to a new tab)

While checking the list of available for you Erasmus+ agreements, please note that each agreement is dedicated to specific programme and students of this programme have the priority. Please analyse the list to identify which agreements you might have priority for.

You need to pay particular attention to the level of studies (BA/MA/PhD) so that not to apply for the wrong programme. You need to also consider the language requirements of a chosen university. If there is no information in the column devoted to English, this university ONLY accepts students speaking the relevant national language.

In order to submit the form, you need to submit a language certificate. 

Internationally recognized certificates such as Cambridge English Exams, IELTS, TOEFL, DELF-DALF
The certificates issued by the Jagiellonian Language Centre (JLC)
The statements about the level of language issued by the lecturers from the JLC or confirmations about the enrolment on a language course run by JLC at a chosen level
Academic transcripts of records certifying the language exam results
International baccalaureate/A-finals/college language exam results, to be recognized as B2 level
In case of native speakers, school diplomas confirming completing the education in a chosen language
For Students of English-speaking programmes at the Faculty of International and Political Studies – the statements issued by your office – to be recognized as B2 proficiency. CISAD students please contact with dr Krzysztof Byrski - Erasmus+ coordinator.
 
Requirements and acceptance criteria:
 
The Center for International Studies and Development awards a place to students based on an application from USOSweb and documents confirming the creation of a ranking list. The place on the distribution ranking list is the result obtained in the database. 
The following criteria applies (maximum 100 points):
1. delivered and active participation in a scientific conference – maximum 20 points:
  • conference on the main 3 points
  • conference at national level, each with 7 points
  • conference at a detailed level, each with 10 points
2. published scientific article – maximum 30 points:
  • student magazines or websites, each article 5 points
  • scientific journals or articles in collective publications, 5 points each
  • scientific book – 20 points
3. documented participation in student associations, non-governmental organizations or foundations - maximum 20 points
4. using the language of instruction (other than English) available at the University - maximum 10 points
  • B1 – 3 points
  • B2 – 5 points
  • B2+ – 7 points
  • C1 or higher – 10 points
5. Other documented activity: e.g. internship; participation in a scientific project, etc. – maximum 10 points
6. Average grade (minimum 4.0) – maximum 10 points
  • 4.5 – 5.0 – 10 points
  • 4.0 – 4.4 – 5 points
The student should have a cover letter justifying the choice of the university where the candidates want to stay. The cover list should include personal data, information about the users of the course of study and a preliminary scientific plan based on the names for which candidates are available at universities.
 
 

General schedule of the first call for applications for Erasmus + program in the academic year 2024/25:

    15.01. - 05.02.2024 - recruitment deadline, submission of applications via USOSweb system

    06.02. - 21.02.2024 - qualification and mobility approval via USOSweb system

Check where you can go. You can find a list of foreign universities in the USOSweb system (Student mobility tab). The updated list of all agreements (click here - this link goes to a new tab).

You can go for one semester (winter or summer) or the whole academic year (depending on the agreement). 
1 semester = 5 months
1 academic year = 10 months
 
EXTENSION

Extension of mobility for the next semester


The Extension Form (click here - this link goes to a new tab) should be sent to Jagiellonian University no later than 4 months from the start of the mobility (partner and home university coordinators' signatures are required). Extending mobility for another semester is possible within one academic year, i.e. from the winter semester to the summer semester (in total for the whole academic year).

Extension due to longer stay


If the planned mobility period is longer than the financing period indicated in the Grant Agreement, it should be reported to the International Students Office no later than 30 days before the end of the financing period. After receiving the information, the International Students Office will prepare an annex to the Grant Agreement, which the student and the university must sign. 
The student can calculate the mobility duration using the Erasmus+ Grant Calculation file. To calculate the duration of the mobility, please indicate the start and end dates of the mobility. 


SHORTER MOBILITY


It is possible to withdraw from the whole academic year scholarship for only one semester. Please submit to us a Declaration of Resignation (click here - this link goes to a new tab) including one semester.


RESIGNATION


To withdraw from the scholarship, you must submit or send a scan of the Declaration of Resignation (click here - this link goes to a new tab) to the International Students Office. Please send us your withdrawal as soon as possible so that other students have a chance to leave. If you withdraw, someone else may participate in the programme.

If you have undertaken all of the activities described, you are good to go!

NOTE: Outgoing students, who have been granted the Erasmus+ scholarship are eligible to stay abroad for - 5 days. Students whose stay lasted 5 days less shall keep the whole amount of received scholarship according to the financing agreement. Students whose stay lasted longer than 6 days can apply for the increased amount of the scholarship, reporting it to the International Students Office via e-mail not later than one month before the end of the stay.

Every outgoing student is obliged to settle all the formalities in 2 places:

We do not provide photocopying services, so please, submit COPIES (you can keep the originals) of the following documents:

  1. Learning Agreement for Studies: ‘Before the mobility’, ‘During the mobility’ (if there were changes), and ‘After the Mobility’ (LAS (click here - this link goes to a new tab)) – all of the documents have to be signed by: the student, the coordinator of the faculty/institute at JU and coordinator of the host university. Documents without any of the signatures will not be accepted.
  2. Transcript of records – this is a document issued by the foreign university after passing all of the courses. Transcript of records = Table C in After the Mobility section. *In the case of Research Projects you need to submit a certificate, which is the confirmation of finishing the Research Project, instead of the Transcript of records.
  3. Confirmation of stay (click here - this link goes to a new tab) – the document should include the dates of arrival and departure to/from the foreign university. We accept different documents, if they consist of the abovementioned dates (dd/mm/yyyy).
  4. Submit on-line participant’s report MT+ – the survey is sent automatically from the Mobility Tool+ to the e-mail address. NOTE: The survey has to be filled and sent without printing. Every student has to receive the confirmation after sending the survey to the e-mail address.
  5. Take the language test after the return from the scholarship

Students have to settle all the formalities within 30 days after returning from the partner university. Students shall submit all of the abovementioned documents in person, by mail, fax or scan of the documents via e-mail. In the case of a delay in issuing the Transcript of records by the partner university, the time to settle the formalities will be extended to one month.

NOTE:

In the case of one semester scholarship:

  • The Erasmus+ grant will be paid in two instalments
  • The first instalment is paid before the start of the mobility, in the amount corresponding to 150 days of stay in the foreign university
  • The second instalment is paid after the scholarship has terminated and the Participant has successfully settled all the formalities, took the test, and submitted the on-line survey. Additionally, Confirmation of stay has to consist of information that the stay at the foreign university lasted less than 150 days.
  • In the case of shorter stays, the second instalment will be reduced, or will not be paid; in the case of stay that lasts less than 120 days, the outgoing student shall reimburse a part of the amount of the scholarship
  • The amount of the scholarship is calculated according to the number of days in the Mobility Tool+.

In the case of the scholarship for the whole academic year:

  • The Erasmus+ grant will be paid in three instalments
  • The first instalment is paid before the start of the mobility, in the amount corresponding to 150 days of stay in the foreign university
  • The second instalment is paid before the beginning of the spring semester
  • The third instalment is paid after the scholarship has terminated and the Participant has successfully settled all the formalities, took the test and the on-line survey. The Confirmation of stay has to consist of information that the stay at the foreign university lasted less than 300 days (10 months).
  • In the case of shorter stays, the second instalment will be reduced, or will not be paid; in the case of stay that lasts less than 255 days, the outgoing student shall reimburse a part of the amount of the scholarship
  • The amount of the scholarship is calculated according to the number of days in the Mobility Tool+.
